Data Protection Staff Absence

At the school I work at a daily email goes round to all staff informing them of who's off and why. In the why, it is always vague - i.e. sick/family/bereavement etc.

However, I'm inclined to think that even this is a little too much information under data protection and is it really necessary to go to all staff?

I would like to know if other schools do this or if they have another way of communicating staff absences that is more discreet? I'm thinking a daily email going out saying who's off also means that staff pick up on the names which are always there and notice that nothing is then done to address it.

  • Is there a purpose to putting the reason down? I assume the information of who's off is useful, but I can't imagine the reasons being useful to anyone apart from their manager and HR (who presumably know anyway) and the gossip mongers (who will probably find out anyway)
    If there's no useful purpose for sharing why someone is off then I wouldn't.

    The entire listing I'm sure amounts to sensitive personal data which shouldn't be released unless the recipients have a real business need to know about it.
    Indicating the particular individuals who for whatever reason are not in school on any particular day is probably necessary, but the reason for absence is surely irrelevant to the purpose and a serious breach of data protection.
  • Why do other staff need to know who is off? Where I work it's the line manager and Cover Manager (who sorts out the cover) who are informed; the cover manager then informs the Head, and HR (for recording purposes)
